The form comes in
Meta pushes the submission to Clics by webhook, with no polling in between. The lead shows up in its own column on the pipeline board within moments of the prospect hitting Submit.

The alert names the campaign
It reads “New lead” plus the Meta form name. With three campaigns live at once, your rep knows which offer this person responded to before dialling.

One rep claims it
Claiming puts the lead in your name and flips it to Contacted. If a teammate got there a split second earlier, Clics turns you down and says so.

That claim is logged as first contact. Average it over a month and you have the number most agencies never actually measure: how fast leads get a call back.
Who owns a lead’s history.
A lead from a client’s Facebook page belongs to that client’s account. With a sub-account (Studio and Agency plans), the client keeps the whole trail on their side: dates, notes, meetings, follow-ups. The agency, as the parent account, sees everything; your other clients see none of it.
That trail is hard to rewrite after the fact. A lead that was contacted and later lost still counts as contacted in the funnel, because it did reach that step. A lead converted into a client can no longer be discarded. And when a prospect phones the client directly, the client can log that opportunity by hand; it joins the pipeline without skewing response time.

New leads get a column on the pipeline board, each card with three moves: see the details, make it a client, or discard it. Nothing to import, nothing to retype.

The overview puts leads received this month beside active clients and videos in production, and stacks the figure against last month.
A date on every follow-up
Each opportunity gets its next follow-up date. Once it passes, the card shows overdue, and the number of overdue follow-ups sits at the top of the pipeline.
Notes with a name on them
Every conversation is logged on the record with who wrote it and when. Whoever picks up the file on Monday knows exactly where things were left.
Meetings tied to the deal
A meeting booked in Google Calendar can be linked to its opportunity, and it shows up on the sub-account’s calendar with the rest.
Qualified, then closed
Leads move from Contacted to Qualified, then close as won or lost. A signed lead becomes an agency client, with their working language and your notes carried over.

What if two reps hit claim at the same moment?
Only one wins. The other gets a message that the lead was just taken by someone else, and moves on. Nobody ends up calling the same person twice.
Can the client log a lead that came in by phone?
Yes, from their sub-account. That opportunity then follows the same path as Meta leads, with a follow-up date and notes, but it stays out of the response-time average.
What exactly counts as response time?
The gap between a lead arriving and its first contact, which Clics records when someone claims it or marks it Contacted. Hand-entered opportunities are left out, since nobody was waiting on them.
Can Claude chase stale leads for us?
On the Agency plan, through the Claude connector. Its built-in follow-up prompt lists leads nobody has claimed or that have sat three days without follow-up, and drafts a message for each. Nothing goes out unless you send it.
Does a lost lead drop out of the sales numbers?
It leaves the open opportunities, but the funnel counts every step reached. A lead that was contacted and qualified before being lost still shows up at both of those steps.
